In this article we would like to point out why we have been dealing so intensively with the topic of OCR in our blog series for quite some time. As you know, OCR has many uses and facets. Here we would like to describe what we would like to use it for.
Where are we at right now?
First, we had to define what Optical Character Recognition actually means and what the purpose of the functionality is. If you missed the beginning of the series, feel free to read it again here!
We talked about which business branches the process can be useful in. In addition, we have shown you case studies of active OCR usage.
Today we know that OCR can initiate profitable process optimizations. In the future, these optimizations should ensure that data and metadata are easier to find and thus easier to use.
Of course, we understand that just using our OCR engine or our associated API does not automatically bring the benefits shown.
However, it can provide the optimal foundation for a process-optimizing document management system.
And this works … how?
The transformation of the information in the documents into data enables you to automatically feed the data to your ERP system, CRM system or others and to further process it in your existing processes in an automated manner, i.e. without manual effort, or to evaluate it efficiently and make decisions for the first time.
By making the document readable, we are able to classify the invoices, mails, etc. from the beginning and categorize them into subject areas. This can create a simpler workflow in the future when identifying and utilizing important data.
The final competitive advantage of using a document management system based on OCR is as follows:
OCR transforms disorganized and disjointed metadata into accessible and searchable ones. Adapted to the right system, it is possible to transform this metadata directly into useful information in an automated process. Disorganized becomes substantive and disjointed becomes interrelated, promising productivity and time savings.
You can think of this process as laying the groundwork for the perfect team selection for your project. We manage to make the individual KPI’s of your data sets more than obvious right at the start, so you just have to select and use them.

Thank you for your time!
